The following policies have been established to allow us to operate in a consistent and efficient manner.
Your familiarity with these policies is important and will help ensure a very memorable experience.
Your session payment is non-refundable and must be paid in full before your session. If you cannot make your
scheduled session time, we will gladly reschedule for a later date. We accept Visa, Mastercard, Discover,
American Express, and Paypal. Payment for additional products ordered must be paid in full before the product is ordered. Due to the nature of these products, no refund will be given unless the product is
Cancellation / Rescheduling
We require 2 business days notice in the event that you need to cancel or reschedule your session. You are
welcome to reschedule your session at a later date.
We are sensitive to the fact that mishaps may occur when preparing to arrive for a photo shoot, however, because we work primarily with natural light, it’s extremely important to do your best to arrive at the scheduled time.
If you are late to your session, we will do the best we can in the time that you have remaining, however, no additional time will be added to adjust for your lateness.
Ex: If your session is scheduled to begin at 7 and end at 8 and if you happen to arrive at your session at 7:30, you would have 30 mins remaining in your session. As seen in No-Shows, if you should find that you are running late, please call or text 520-449-6284 within the fifteen-minute time frame of your appointment to avoid no-show penalties and fees. (I.e If your session begins at 7, you will have until 7:15 to contact us via text or a phone call before you are considered a no-show appointment.) Because we do not check our email while on location, sending an email is not an acceptable form of contact for lateness.
While we make every attempt possible to ensure a happy and stress-free experience, we cannot be held responsible for images that weren’t captured due to the subject’s attitude or behavior. This is especially important with regard to children; however, we do understand that they can be unpredictable. We are prepared for meltdowns; although, we strongly recommend that before your session, children are fed and well rested to ensure a fun experience for everyone.
We do not tolerate harassment or rudeness from clients, members of the client’s party or family or from guests to the session. If we feel uncomfortable or threatened in any way, we reserve the right to end the session.
We, as the artist, will make reasonable suggestions (whether we suggest poses or locations) during your session in order to achieve the best possible final results. If for whatever reason, the client or session participants are not willing to engage in these requests, we cannot be held responsible for less than optimal final images.
Sessions with Children
As stated above, we strongly recommend that children arrive at their session well rested and fed to avoid unnecessary meltdowns. When working with young children and toddlers, we strongly believe in respectfully working at the child’s pace. Photography can be scary for some children and we will never force a child to pose. For particularly shy or reserved children, the warm-up process may take longer than it will for an outgoing child and sometimes and this can become incredibly frustrating for parents on the sidelines. Because of our extensive experience with photographing young children in addition to our personal experiences in motherhood, we have an arsenal of methods to use to create a level of trust and produce incredible images regardless of the circumstance. In our experience, although it may take longer, achieving trust will produce authentically happy images. If your child requests that we stop taking their pictures, we will respect their wishes and then try to bring the camera out again in a few minutes. If your child is still against the pictures, we will put it away again and try once more. If your child continues to refuse their picture, we will put away the camera for the remainder of the session.
Coaching from the sidelines
When working with your child, we need their full attention. We ask that parents refrain from coaching children to pose, move or act in any way. This also includes using non-verabal cues while standing behind the photographer. This can be very distracting and confusing for children and can reduce the quality of images. Additionally, we may see some the perfect shot from behind the camera that you may not and by asking your child to move may disrupt the setup. If we need your help distracting or encouraging a child, we will let you know. If we notice that parents are coaching children, we will verbally remind of our policy. If the coaching becomes excessive or too distracting, we hold the right to stop the session.
Demeaning or Belittling Behavior
As parents, we want our children to look their best in their pictures. However, sometimes the drive to ensure that children look perfect can result in belittling or demeaning the child during their session. Not only is this incredibly destructive towards the child during the session and long-term, but it also creates a stressful and negative atmosphere for pictures. Under no circumstances will we allow demeaning or belittling behavior from parents towards their children. This includes hyper-criticism of the child’s ability to pose or cruel remarks about the child’s smile or appearance. Additionally, we will not tolerate shouting or yelling at children (aside from safety reasons or for the child’s behavior). If we notice that this type of behavior occurs from parents or any guests attending the session, we will give a reminder. If it happens again, we will conclude the session.
Sessions with Animals
Working with animals can be as unpredictable and though we will try our best to capture specific requests, we cannot guarantee any specific pictures or images. Our ability to photograph pets is directly correlated with your pet’s disposition during their session. We also ask for advanced notice when including an animal into the session and we also ask that you refrain from bringing animals that have a history of aggression, biting, or violence. Although we will do our best to keep your animal safe during their session, we cannot be held responsible for any injury, illness or death that, though unlikely, could occur. We highly suggest bringing treats, water as well as a leash for your pet during their session. We will not work with animals in locations that expressly forbid animals.
In our experience, wind speeds can have a dramatic effect on the overall success rate of your session. We advise against will generally reschedule a session in the wind speeds for that day are above 14 mph. On the day of your session, if we feel that it may be too windy to complete your session, we will notify you as soon as we know to ask you to reschedule. If you do decide to continue with the session, it is your full understanding that we have little control over the wind and what it might do to the final images (i.e hair blown in unflattering angles, watery squinty and runny eyes, ect.).
During the summer months especially, we highly recommend against working on days with excessive heat warnings or days when the temperature will be at its peak. This is due to the safety concerns of the excessive heat as well as the difficulty of conducting a session in extreme heat. If we feel that the temperature is too hot to work in, we will consult with you immediately to discuss rescheduling the session.
During the rainy seasons in summer (monsoon season), rain and flash flooding is a concern, especially in more desert locations. If there has been a significant amount of rain during the day of your session, or we find that rain is supposed to occur during your session, we will contact you to reschedule the session.
During your pre-session consultation as well as in our clothing guides, we will discuss and design your session as well as make recommendations for clothing choices. These recommendations are helpful in producing high-quality sessions, however, the final clothing choice is up to you and we are not responsible for any final clothing choices or how they should appear on camera. And while we will make every effort possible to ensure that clothing is straightened and wrinkle-free, we cannot be held responsible for clothing and hair mishaps that may show up once the image has been completed.
Cameras During Your Session
No cameras are permitted during your session including the use of smartphones. Additional cameras can be distracting for the subject and make it more difficult to capture the perfect shot. If the camera (smartphone or digital camera) becomes distracting or we notice that you are taking pictures, we will ask that it’s put away. This rule also applies to any guests that may join your session.
To ensure a successful session, we highly recommend participating in the following activities before your session:
1. Filling out and returning your session contract and questionnaire.
Your session date and time will not be secure until both the session contract and questionnaire are complete.
2. Participating in the pre-session call or meeting.
We highly recommend participating in either a pre-session in-person meeting or a phone call prior to your session. This time is designed so that we can get to know you better as well as your session goals. By knowing these goals, we can best come up with a plan to suit your family as individuals during your session for the best possible experience and images. While we can still conduct your session without either a phone call or an in-person meeting, we do not recommend this course and we will do everything in our power to schedule a time that is convenient for you.
Viewing Images from your session
A single session reveal will be scheduled for viewing your photographs. The purpose of the session reveal
is to choose your matted prints and digital files (according to your selected collection) and to make any
additional product purchases. Please plan to bring all the people involved in this decision. We will be there
to guide you through the process and help with questions and make suggestions. We ask that all of your
order decisions are made during this review time. Because review appointments must be prepared for in
advance by our staff, 24 hours notice is requested to cancel or reschedule your review. Images will not be
posted anywhere online until after the session reveal. Only images selected during the session reveal will be
Image File Archives
Image files are kept on our systems for sure for 90 days to allow ample time to make your selections and
complete your purchases. While we may store files for longer than that sometimes, it’s not guaranteed
after the 30 day period. Please plan on making all of your selections at your reveal session.
Number of Images
The number of images you receive is in accordance with your selected collection. We do not guarantee
how many images there will be to choose from, however, there are usually 20-30 from each session.
Receiving your final portraits
Your final photo products will be delivered by hand or shipped directly to you after your payment has
processed fully and the product has been created.
